Service Notice - Downtime

We will be upgrading our servers and are needing time to switch them over. So, Mailroom will be down for 6 hours, beginning Sunday October 28, at 7:30 am PST. We apologize for this outage, but we know that you will be happy with the increase in performance once the service has been completed.

New Feature: Limited User Access

Mailroom works best when you use it with your entire team. Sometimes, however, you want some users to have a little more limited access than others. Maybe you have a contractor who needs to see only emails related to your website or you are in an industry where maintaining customer account privacy is important.

Now you can limit any user on your account to see only conversations assigned to them. It’s really easy to setup. Just go to preferences and click on “Other Users” choose the user you want to limit, and then uncheck the box labeled “User can view items assigned to others users”

Hit Save Changes and you’re done. Now you can give everyone on your team access to Mailroom, even those who need only limited access.

New Feature: Attachements for Form Posts

Back in June, we introduced a way to get form information from your website directly into Mailroom. And, the world rejoiced.

But, it wasn’t complete with out the ability to add attachments to those posts AND have it submit directly into Mailroom. The wait is over.

Today, we added the ability for form posts to include attachments. This will come in very handy if you:

  • run a support site and offer customers the ability to upload a screen shot
  • have an e-commerce store and a user wants to send you a picture of exactly what they are looking for
  • a sales order form is accompanied with a signature (an alternative to a fax)

But, I am sure there are many other instances that I have left out.

If you happen to have the technical know-how to change the form’s HTML to allow for attachments, we took the liberty of outlining the mark up and what you need to do, here. Once you get there, scroll to the bottom and you will find form-attachement-html utopia.

New Feature: Auto Refresh

If you keep your Mailroom account open for long periods of time throughout the day, and want to see when a new customer writes you, this new feature is for you.

Most web based email programs require a page to be reloaded before any new information is displayed. Many of us use Mailroom throughout the day and, subsequently, leave that browser window open. The draw back was having to refresh the page anytime you wanted to see new emails that had been received from your customers – until today.

Now, your Needs Attention page will automatically refresh every 5 minutes.

Why every 5 minutes?

Here are a few ways to look at that reasoning.

  • Let’s just assume that you have 10 emails that you need to answer when you first login to Mailroom. Let’s say it will take you 30 seconds for each email, using the Reply menu, tagging it, and customizing each response with a name (yes, it can be done). That will take you 5 minutes.
  • Get up, got to the coffee maker, pour a cup, add sugar and cream, stir…. yeah, by the time you get back to your seat, auto refresh will have run.
  • The numbers 1 – 12 on your watch divide the time in 5 minute increments.
  • One for each finger on your right hand (or left for that matter).

Regardless of how you look at it, auto refresh was designed to keep you up to speed and responding to your customer questions at a pace that is enjoyable and sustainable.

So, sit back. Get a cup of coffee. And, let auto refresh work for you.
